Switching Grower ERP Is a Project, Not a Leap of Faith

Fear of migration keeps more growers on failing systems than any license fee does. Treat it like any other project you’d plan: what data moves, who does the work, and when to cut over.

What data should move

Items, customers, pricing, availability, open orders, order history, production recipes, and more. Every operation’s list is different, so get the full list for yours in writing before you sign.

Who does the work

You should have options: import the data yourself with templates, have AI read and import the files you already have, or have the vendor’s team do the migration for you. A CSV template and a deadline shouldn’t be the vendor’s only answer. Whatever system you choose, hold the vendor to a real migration standard: your customer, item, and order numbers come over unchanged, your team trains on your real records, and the data gets refreshed at go-live. Ask what self-service training and documentation your team gets.

When to move

Be realistic about the calendar. For most categories, especially legacy systems and platform verticals, plan on months and sometimes more than a year for the switch. For a modern, scalable, AI-native platform, it might only take a week or two. Either way, the work is the same: run the old and new systems in parallel long enough to trust your numbers, and time your go-live to your operational cycle.

Parallel running means entering some work twice, so keep it to a slice your team can handle, such as one location or one key customer’s orders, rather than the whole operation. The right window is usually your slow season, but not always. Your own priorities can move it, and sometimes an outside factor sets the date, like a retailer switching you to pay-by-scan. Get the vendor aligned to your calendar and confirm the plan is realistic before you commit, especially for a large, complex implementation that runs in phases. If you ship to big-box retail, put the EDI connections at the front of the migration plan. The retailer controls the testing schedule, not you or the vendor.
